COMPARISON

BrightStep vs OpenApply for school admissions

OpenApply is the incumbent admissions system of international schools. BrightStep is the admissions CRM built in Morocco for schools and colleges that live on WhatsApp and work in French. Here is how they differ, verified against public sources.

In short

Choose BrightStep when conversation drives your funnel: two-way WhatsApp and voice from the school number, an AI agent that answers families, interviews and entrance tests inside the workflow, published flat pricing, French-first support and EU hosting. Choose OpenApply when you need re-enrolment, a multi-child parent app, Arabic or Chinese interfaces, multi-currency collection or a ManageBac-integrated suite today.

TWO ORIGINS

Where each product comes from

Both call themselves opinionated about admissions. The opinions differ because the schools they grew up with differ.

OpenApply, in one paragraph

  1. Launched around 2011 by Faria Education Group (ManageBac, SchoolsBuddy, IDAT); used by several hundred international and independent schools, mostly in Asia-Pacific and Europe
  2. Sold per enrolled student on an annual subscription, quote only; 5–10 % discounts require two- or three-year prepayment
  3. Hosted on AWS in Montreal (Beijing for China); family interfaces in English, Arabic, Chinese, German, Spanish and Japanese — not French
  4. Communicates by email; WhatsApp is one-way status notifications; interviews happen on Zoom; tests go through the IDAT partner

A complete, mature system for the international-school playbook.

BrightStep, in one paragraph

  1. Built by GEERD in Casablanca for admissions teams in Morocco, francophone Africa, France and the UK — higher education and K-12 alike
  2. Three flat plans published at 499, 999 and 2,999 MAD per month with unlimited contacts and campaigns; onboarding from 4,999 MAD, once
  3. Hosted in the EU (OVHcloud, France), GDPR- and CNDP-aligned; French and English interfaces and support
  4. Talks: two-way WhatsApp inbox, voice calls and an AI agent on the applicant record; video interviews and assessments run inside the workflow

A conversation-first admissions CRM that goes live in days.

Grows with your enrolment

At list price the two sit in the same range for a mid-sized school. The difference is what the price contains: BrightStep’s includes the WhatsApp inbox, calls, video interviews and assessments; OpenApply’s grows with every pupil you enrol.

WHY BRIGHTSTEP

What sets BrightStep apart

Six things a school gets with BrightStep that OpenApply does not offer today, on the evidence of its own documentation.

Two-way WhatsApp and voice

A shared WhatsApp inbox on the school’s number, templates, bulk invitations, and click-to-call with recording — every exchange on the family’s file. OpenApply sends one-way WhatsApp notifications.

An AI agent that answers families

BrightStep Intelligence replies to parents on WhatsApp from your own knowledge base, scores leads and creates tasks for your team. OpenApply’s Ask AI is a question box in the parent app, for select schools.

Interviews and tests inside the workflow

Video interviews with recording and evaluation forms, and an assessment stage with auto- and hand-graded questions. No Zoom links, no separately purchased test.

Published, flat pricing

499, 999 or 2,999 MAD a month, on the website, with unlimited contacts. No per-pupil metering, no quote to request, no multi-year prepayment to earn a discount.

French-first, EU-hosted, CNDP-aligned

Interfaces and support in French and English; data in the European Union (OVHcloud, France); Payzone for collection in dirhams. Built for the regulatory reality of Morocco and francophone Africa.

Live in days, with a local team

Self-serve setup or premium onboarding with migration, in your time zone and language. OpenApply’s typical implementation is four to six weeks, with email support.

When OpenApply is the right choice

If your school runs ManageBac and wants one Faria login for families across admissions, learning and activities, OpenApply is the natural fit — and the IDAT test plugs straight into its checklist.

If you need re-enrolment, a multi-child parent app, Arabic or Chinese interfaces, or to collect fees in many currencies through Stripe, Flywire or Alipay today, OpenApply has these and BrightStep does not yet. Re-enrolment, guardian accounts covering several children, event registration with calendar sync and international collection are on our roadmap, not in the product.

BrightStep is for schools whose funnel lives in conversations — WhatsApp, calls, interviews — and who value a French-speaking partner, transparent pricing and EU data residency over the broadest feature list.

Switching from OpenApply

What transfers: OpenApply exports applicants, parents and payments to Excel or CSV and exposes a REST API; BrightStep imports contacts and applicants from spreadsheets and offers a REST API with scoped keys. Historical documents come across as files.

What is rebuilt: forms and checklists become BrightStep workflow templates — one per entry point (Early Years, Primary, Year 7, Sixth Form) with your documents, assessments, interviewers, offer and fee. Premium onboarding (24,999 MAD) includes the migration and configuration; most schools switch between two intakes.

What stays: your MIS remains the pupil record. BrightStep hands the enrolled pupil over on enrolment day by CSV or API, exactly as OpenApply does today.

FAQ

Common questions

Yes for admissions: enquiry capture, applications per year group, documents, assessments, interviews, offers and fee payment, with two-way WhatsApp, voice and an AI agent. Not yet for re-enrolment or a parent mobile app, which OpenApply offers and BrightStep has on its roadmap.

OpenApply is quote-only, billed per enrolled student each year; software directories list a starting price around $3,000 and OpenApply’s ROI calculator uses $8,000 a year. BrightStep publishes flat plans — Starter 499, Core 999 and Max 2,999 MAD a month with unlimited contacts — plus a one-time onboarding fee from 4,999 MAD.

Differently. OpenApply sends one-way WhatsApp notifications from the school’s WhatsApp Business account when an application changes status. BrightStep adds a two-way inbox, templates, bulk invitations and an AI agent that replies to families, plus voice calls — all logged on the applicant record.

Not according to its parent-experience page and app listing, which offer English, Arabic, Chinese, German, Spanish and Japanese. BrightStep’s staff and family interfaces, notifications and support are in French and English.

OpenApply hosts on AWS in Montreal, Canada (Beijing for China accounts). BrightStep hosts in the European Union on OVHcloud in France, GDPR-aligned and aligned with Morocco’s Law 09-08 (CNDP), with signed DPAs.

With BrightStep, yes: an assessment stage with auto-graded and hand-graded questions, and video interviews with recording and evaluation forms, both inside the application workflow. OpenApply schedules interviews and integrates the paid IDAT test; the interview itself happens on Zoom or in person.
