One record per applicant, from first message to enrolment.

Admissions teams use BrightStep every day to follow applicants, answer them on WhatsApp, run interviews and collect fees. Enro, its AI agent, answers leads on WhatsApp from your campaign’s knowledge sheet, under your team’s control. Set up with GEERD, on your stages, never delivered on its own.

Day to day

A day in admissions with BrightStep.

Five moments, five people, one record.

  1. 08:30

    The admissions officer

Opens “Needs review”: the files waiting on a human, nothing that moves on its own and nothing that waits on the applicant. Fourteen applicants, sorted. WhatsApp messages go out from the record and the replies come back into it.

  2. 10:30

    The interview panel

Meets an applicant by video from BrightStep: the room opens thirty minutes ahead, the rubric is filled in during the interview, the decision and the recording are logged.

  3. 14:00

    A parent

Pays the application fee by card from the applicant portal, on a secure payment page. The status turns to “Paid”, the PDF receipt is available, finance has nothing to re-enter.

  4. 17:00

    Leadership

Opens the reports: funnel by campaign, best-performing sources, decision times, collections. Nobody prepared a spreadsheet.

  5. 22:40

    A lead

Writes on WhatsApp: “What are the enrolment fees for Year 11?” Enro, the AI agent, answers from the campaign’s knowledge sheet, sends the brochure, notes the interest. The next morning the team sees a scored lead, not an unanswered question.

What it holds

Everything an admissions team needs. Nothing it will not use.

Each part is described by what it does for someone, not by its spec sheet. The six chapters follow who uses it: what the applicant sees, what the team holds, the conversations, the interviews, the payments, and what leadership reads at the end.

01Applicants

The applicant moves forward alone, without calling your team.

Campaign page

One public page per campaign, in your colours. One link to share, tracked by source.

Forms and quizzes

Attachments, conditional fields, validation rules. Timed quizzes, marked automatically.

Applicant portal

Passwordless account: WhatsApp or email code, Google, Microsoft, Apple. Revisions requested field by field, help from the team in one button.

  1. In Progress
  2. Submitted

  4. Accepted

02Team

Every applicant has an owner and a next action.

Stages per campaign

Form, payment, interview: the stages you define, reusable as templates. Automatic progression on approval, or manual.

The “Needs review” queue

The filter that opens the day: the files waiting on a human. Saved views, shared with the team.

Tasks and notes

Dated tasks, assigned, reminded a day and an hour ahead. Internal notes (call, email, meeting) the applicant never sees.

03Conversations

WhatsApp, calls and email, from the record.

WhatsApp inbox

One conversation per applicant, whichever colleague replies. Approved templates outside the 24-hour window.

Calls from the browser

One-click call from the record or the contact, logged with its duration. Recording with explicit consent, replayable from the history.

Contacts and sources

A lead base imported from your files, de-duplicated by email, tagged, assigned automatically. Every contact keeps its source: fair, website, campaign, Enro.

The application fee is 800 MAD, payable online when the application is submitted. The deadline is 30 June 2026.

04Interviews

Booked by the applicant, held by video, scored on a rubric.

Self-service booking

The applicant picks a slot from the interviewers’ availability, in their own time zone. Evenly distributed, or a collective panel.

Built-in video

The room opens inside BrightStep thirty minutes ahead. Recording if you turn it on, no-shows flagged, rescheduling in one gesture.

Rubrics and decisions

Weighted criteria, a labelled scale, a recommendation. Several assessors, several sheets; leadership reads them all before deciding.

Application fees collected and reconciled in the record.

Card online

Transfer with proof

The applicant uploads their receipt, the team compares it to the expected amount, approves or refuses with a readable reason. A reversible, traced decision.

Receipts and export

A PDF receipt on the institution’s letterhead for every payment. An export of the period for finance.

Reports

Funnel by campaign and by stage, best-performing sources, decision and assessment times, interview no-shows, collections per campaign, workload per owner.

Roles per campaign

An owner sees only their campaigns. Interviewers, owners, administrators: each sees what concerns them.

Enro · AI agent

Enro answers leads on WhatsApp. Your team keeps control.

A lead writes at 10.40 pm. Enro answers from the campaign’s knowledge sheet, and only from it: fees, dates, documents, stages. It invents nothing, never promises admission, and when it does not know, it hands over to your team saying what was missing. It never passes itself off as a person: if the applicant asks who they are talking to, Enro says plainly that it is an AI assistant working with the admissions team.

The same conversation from the team’s side: the score, the signals that raised it, and the move from Interested to Ready.

Two modes
Assist: Enro drafts, your team sends. Autopilot: it sends the replies that passed verification.
Checks before every send
Deterministic checks (facts cited, the applicant’s language, WhatsApp length, no repetition, no unauthorised link), then two model reviewers and a confidence gate. Only those two reviewers can retract a reply; it is then replaced by a human message, written in advance.
It works for the team
It notes interest in a programme, creates the lead record, sends the brochure, opens a task when it promises someone will call back. Never behind the applicant’s back: its reply is the same with or without the action.
It finds the right programme
For an unknown contact, three questions at most to identify the programme, then the documented answer.
A readiness score
Every lead who talks to Enro gets a score from 0 to 100; strong signals (payment, enrolment, appointment) alert the team instantly.
A budget and a trace
A monthly credit cap, and for every turn: what Enro received, what it replied, why it was blocked.

Without anyone acting

What nobody has to remember any more.

No rules to write. These are there from set-up; what they send is governed by your notification preferences, by email, WhatsApp or in the app.

  • An interview reminder a day and an hour ahead, cancelled if the applicant reschedules.
  • A notification to the applicant at every change of stage.
  • Automatic progression when a form or a payment is approved.
  • Interviews distributed between interviewers by priority and workload.
  • New contacts assigned to the team.
  • A receipt for every payment.
  • A task, then an email to the team, when Enro hands over and nobody has picked it up within five minutes.
  • A task reminder the day before and an hour ahead.

Set up with you

BrightStep never arrives without the work that comes before it.

We do not configure software before understanding your journey. The diagnostic defines the stages, the set-up translates them into BrightStep, and the first campaign is run at your side. It is also why BrightStep is not sold self-service: two schools recruiting the same profile almost never have the same stages, and software delivered with someone else’s stages ends up sitting next to a spreadsheet.

See how we work on admissions

One student record

The enrolled applicant becomes a student. GEERD handles the passage.

At the end of the campaign, GEERD brings your enrolled students into EasyClass with their record and their balance: it is a step of the set-up, not re-entry by your team. Years later, the same graduate receives their AlmaHub invitation from EasyClass.
