The situation
Applications come from everywhere. The follow-up is nowhere.
One applicant writes on WhatsApp, another fills in the form on your website, a third turns up at an open day. Each comes in through a different door, and each door has its own file. The four sentences below come up in almost every diagnostic we run.
“Who followed up with this applicant?”
The answer is in someone’s phone, not in a file.
“How many have enrolled so far?”
Three files. Three different numbers.
“Has he paid the application fee?”
You would have to ask the finance office.
“How did this applicant find us?”
A fair, the website, an alum’s WhatsApp. Nobody wrote it down.

What changes
One number, read the same way by everyone.
Today leadership, admissions and finance each count on their own, and one meeting is rarely enough to reconcile the three figures. Once the journey is defined and the records are in one place, the same table serves all three: it updates with every enrolment, and nobody has to prepare it any more.
Every applicant has an owner and a next action.
No applicant left forgotten in a phone. Every file carries the name of the person following it and the date of the next follow-up, and the team starts its day on the list of what is waiting for an answer rather than on an inbox.
Leadership follows the campaign without a status meeting.
Applications, admitted, enrolled, by programme, updated with every enrolment. Leadership opens the same screen as the admissions team: the question “where does the campaign stand?” already has its answer, and it no longer costs anyone half a day of preparation.
Fees and enrolment live in the same record as the application.
Payment status is read by admissions, not requested from finance: the question “has he paid?” is settled in the screen where the file is already open. When EasyClass is set up, GEERD carries the enrolled students over with their record and their balance: a set-up operation, not an automatic transfer.
