The situation

The academic information exists. It is just entered three times.

A grade starts in the teacher’s notebook, goes through a spreadsheet, reaches the office and comes out on a signed transcript. Along the way the same information has been copied three times by three people with no time to spare. The four questions below are what those copies produce, semester after semester.

“Can you send me her grade again?”

One piece of information. Several versions.

“Where is my transcript?”

The same question at the desk, a hundred times a week.

“What is the absence rate?”

Someone would have to collect the signature sheets.

“Who is over the absence threshold?”

Nobody knows before the board meets.

It is not a discipline problem. These are circuits that pass through too many hands: the teacher enters, the office re-enters, leadership waits, the student queues. Every handover is a chance to make a mistake and an hour lost.

How we work

We start by following one grade, from the paper to the transcript.

No software before we understand the circuit. Three phases, in this order.

Diagnostic

Free

One session with leadership and the head of academic administration. We follow three real circuits: a grade, an absence, a transcript. We count how many times each piece of information is entered and who is waiting on whom.

Set-up

Together we define the academic structure (year groups and classes, or programmes, pathways and semesters), the marking rules and the document templates, then we configure EasyClass to produce your transcripts, certificates and reports in your own format. Teachers are trained on their own courses.

First semester, accompanied

GEERD stays present through the first examination board: your team enters attendance and grades and publishes the transcripts, GEERD answers the questions, adjusts the templates and reads the figures with leadership. After that, the team is on its own.

What changes

A grade entered once. Read by everyone who needs it.

Today the same grade exists in three places, and what everyone hunts for is the most recent version. Entered once, by whoever produces it, it stops being something people forward to each other: the transcript, the report and the student table are no longer three documents to manufacture. The three changes below follow from that.

  • The teacher enters; the transcript produces itself.

    Grades, averages, reports, certificates and official transcripts all come from the same data, in your own Word format, with no re-entry. A correction made by the teacher reaches everywhere the grade had already gone.

  • The student serves themselves.

    Grades, timetable, documents, assignment submission and payment from their own portal. The front desk gets its time back: the hundred “where is my transcript?” of the semester stop turning up.

  • Leadership reads the student table, not a spreadsheet.

    Attendance, invoiced, paid, late, by student and by cohort, up to date at every entry; the absence threshold the school sets flags whoever exceeds it. An absence that settles in shows in November, while there is still time to call the student.
