The situation

You have the figures. You have them the next day, and they do not agree.

Each department keeps its figures carefully, and each is right within its own walls: they are not the same cut-off dates, nor the same definition of the word “enrolled”. The gap appears only when the figures are brought together, and it is leadership that brings them together. The four exchanges below are the ones heard in management meetings.

This is not a reporting problem. It is that information is produced for each department separately, and leadership is the only one who needs all of it at once. Leadership becomes the integration layer.

How we work

We start by listing the ten questions you ask every week.

No indicator before we understand what it has to answer. Three phases.

Diagnostic

Free

One session with leadership and the heads of admissions, academic administration and finance. We list the recurring questions, note where each answer lives today and how long it takes.

Runs the session, writes the report: a map of the questions, their sources, the dependencies on individual people, a first recommendation.

Set-up

Together we choose the first scope (usually admissions or academic administration), define the indicators and who reads them, and configure the platform concerned so the figures are produced as the teams work, not at month end.

First quarter, accompanied

GEERD reads the figures with you every month for a quarter: what is missing, what is surprising, what should be added. After that, the institution extends the scope at its own pace.

What changes

One record. A leadership team that reads instead of asking.

As long as each department produces its own figures, leadership is the only one bringing them together, and does it by hand, the night before the board meeting. When the four moments of a student’s life sit in one record, there is nothing left to bring together. The three changes below follow directly.

  • Everyday questions stop coming up the chain.

    Each team sees what concerns it, with its own rights. Leadership is no longer the compulsory checkpoint, and what still comes up the chain asks for a decision, not for a figure.

  • The figures agree because they come from the same record.

    Applicant, student, payer, graduate: one person, one record, figures that add up. There is no longer an admissions version and an academic-administration version to reconcile in the meeting.

  • Nobody is indispensable to get an answer.

    The information survives leave, departures and changes of team. It lives in the record, with its access rights, and the answer no longer depends on whoever was keeping the spreadsheet.
